How do I schedule shifts and events on the calendar?
Any event that occurs as a part of a project is called a "shift" in the system. In order to add a shift to the calendar you first must click on the "Schedule" icon for the particular project you would like to schedule a shift. This can be done on either the main project view or within the project itself.
After clicking the "Schedule" icon, it will go to the "Schedule" page. The default view is "Timeline". You can change the view by clicking on the dropdown menu on the left side of the screen. You can choose from Timeline, Monthly View, Weekly View, Daily View, Daily Schedule and Weekly Schedule.
In the Timeline view, simply click "Add Shift". On all other views, simply click anywhere on the calendar to add a shift.
The Monthly View, Weekly View, Daily View, Daily Schedule and Weekly Schedule will show the current Month/Week/Day respectively. You can toggle to previous Month/Week/Day or future Month/Week/Day by using the arrow buttons on the right side of the screen and come back to the current Month/Week/Day by clicking the "Today" button.
For this example, I will be using the Weekly View.
Next, locate the date and time that you wish for the schedule to start and either click the first segment or click and drag down until the end time of the shift.
NOTE: You can edit the start time and end time as well as the date after clicking or dragging the block of time that the shift will occur.
Once you click or drag a block of time, another window will pop up with the details of the shift where you can do things such as; choose the shift type, choose an Estimate Service, adjust the date of the shift, adjust the start time and end time.
You can also choose which address at which the shift will occur, add a more detailed description of what will occur during the shift and invite team members to the shift. After you have completed all of the shift details, click "Save Shift".
To invite team members to a shift you must first determine how many people are needed on that particular shift and add the corresponding number of "Team Slots" by clicking the "Plus" sign below where it says "Team Members".
Once you add all of the Team Slots, click the "?" on the slot and choose who from the team you would like to add to the shift.
NOTE: In order to invite a staff member to a shift, they MUST have already been added as a team member of the project on that project's particular Contacts page.
All team members invited to the shift will receive a shift invite email. It contains all of the information that was entered when the shift was created. It contains the names of the project, date and time of the shift, the project lead and their contact information, shift type, description of the shift and address where the shift will take place. There are options for the team member to accept or decline the shift. See example below:
Once the shift is saved, it will appear on that particular project's calendar as well as on the All Projects Calendar.
Taking a closer look at what is displayed for the shift on the project calendar, you will notice that it displays the shift type, the initials of team members invited to the shift and whether or not they have accepted the invitation. If there is a green dot next to their initials, this means that they have accepted the invitation to the shift. If there is a yellow dot next to their initials, this means that they have yet to accept or decline the invitation to the shift. If there is a blinking red dot next to their initials, this means they have declined the invitation to the shift. If there is a dotted outline with a "?", this means that there is an open spot for that shift that needs filled.
Clicking on a shift that has already been created and saved will take you to the Shift View screen. It will display a summary of all the details of the shift.
You are able to edit a shift by going to that particular project's Shift View and clicking on the edit icon on the right side of the screen.
If you wish to delete the shift entirely, click the trash can icon on the right side of the screen.
